A single running total tells you how much is owed, but not which months — and that difference matters more than it looks.
Tuition fees are usually charged month by month, but a lot of simple fee-tracking tools — and most tutors' own notebooks — only keep one running number per student: total pending. That works fine for a one-time fee. It breaks down the moment a student has been with you for more than a couple of months.
Situation
A student joined in March at Rs.1,500/month. They paid March, April, and May on time, then stopped. It's now September.
With a totals-only tracker
"Pending: Rs.6,000"
With month-by-month tracking
"Pending: June, July, August, September — Rs.1,500 × 4 = Rs.6,000"
Both numbers are correct. But if a parent replies "which months?" — and parents often do, honestly or otherwise — a totals-only tracker leaves you doing the maths by hand, counting back from the join date. A month-by-month tracker already has the answer, because it was never lost in the first place.
